Automated Direct Mail Gift Processing for Nonprofits
SimpliPhi Automated Lockbox Processing: a product for Raiser’s Edge NXT
Your provider receives the mail and handles the payment workflow. Our product automates the related CRM data workflow and flags transactions that need human review.
Our product for nonprofit teams processing direct mail gifts in Raiser’s Edge NXT
Automated Lockbox Processing is designed for organizations that receive returned donations through a lockbox or caging provider and want gift data recorded in Raiser’s Edge NXT using their established coding and validation rules.
- Uses a supported provider’s transaction data and document outputs
- Matches house-file responses to existing constituent records using agreed identifiers
- Applies configured appeal, package and gift-coding rules
- Flags nonstandard transactions for human review
Built on more than 10 years of direct-mail gift-processing experience, the new product is currently used by five nonprofit clients.
This product may be a strong fit if your nonprofit:
- Runs recurring direct mail or annual giving campaigns
- Receives returned checks or credit card gifts through a lockbox or caging provider
- Uses Raiser’s Edge NXT for constituent and gift management
- Manually re-enters information from provider files or scanned mail
- Needs more consistent appeal and package coding
- Experiences seasonal gift-processing backlogs
- Needs supporting documents linked to the corresponding gifts
Configure the workflow before the first processing cycle
Before launch, your team and SimpliPhi confirm the provider’s transaction and image outputs, map source fields to Raiser’s Edge NXT, document gift-coding and validation rules, and test representative files.

Connect supported provider outputs to Raiser’s Edge NXT
The provider receives and scans returned mail and manages check deposits or card processing. SimpliPhi handles the related CRM data workflow; it does not act as merchant of record or manually key card numbers.
United States: Confirm provider compatibility and transaction-data and document-image formats before setup.
Canada, current Symcor ULBX deployment: Symcor supplies payment data and financial and non-financial IFT image packages over SFTP, and transmits X9 cheque-clearing files to the client’s bank. File formats and delivery methods vary by provider.

Create gifts on the appropriate existing records
For house-file campaigns, the product uses the agreed response identifiers and mapped provider data to match a returned gift to an existing constituent in Raiser’s Edge NXT.

Map appeal, package and gift fields to your CRM rules
Configured rules apply the assigned appeal and package and map agreed fields such as campaign, fund, gift subtype and payment method. Gift date and cheque date handling are defined for the organization’s workflow and tested with sample transactions.

Send nonstandard responses to the agreed review path
Transactions that do not meet configured rules can include incomplete payments, unmatched identifiers, non-gift correspondence, donor notes or constituent updates. The product flags items requiring a decision rather than treating every response as a standard gift.

Keep reply forms, checks and correspondence associated with the gift
Scanned reply forms, checks, notes, letters and other supporting documents are stored as standard attachments on the related gift record in Raiser’s Edge NXT.
This product can be integrated with external file-storage services such as AiryDocs or SharePoint.
For the current Canadian ULBX workflow, financial and non-financial IFT outputs carry the related image files.

Check whether your lockbox workflow is supported
Bring your provider details, a sample transaction file and exception categories. We’ll confirm compatibility, setup requirements, test criteria and processing cadence for your deployment.

-
What is SimpliPhi Automated Lockbox Processing?
It is a product that connects supported lockbox or caging provider outputs with Raiser’s Edge NXT. It applies configured matching, gift-coding and validation rules, creates gifts on appropriate constituent records, and flags transactions that require review.
-
What does our nonprofit need to provide before setup?
Provide the lockbox or caging provider details, representative transaction files and document images, Raiser’s Edge NXT field mappings, gift-coding rules and exception categories. Confirm the reply-piece identifier and who generates and captures it. If payment-provider or bank enrollment is required, the nonprofit completes that setup.
-
Which lockbox providers and systems are supported?
The CRM destination is Raiser’s Edge NXT. The product connects to supported lockbox or caging providers that can supply the agreed transaction data and document outputs. Provider compatibility and file requirements are confirmed before implementation.
-
Does SimpliPhi receive the mail or process payments?
No. The lockbox or caging provider receives and scans returned mail and handles the financial workflow. SimpliPhi automates the related CRM data workflow and does not act as merchant of record or manually key card numbers.
-
How are constituent matching and gift coding configured?
The setup maps the organization’s agreed response identifiers and provider fields to Raiser’s Edge NXT constituent and gift fields. Appeal, package, campaign, fund, gift subtype and date handling are configured and tested against representative examples.
-
What happens to a transaction that does not meet the rules?
The product flags transactions requiring human validation, such as incomplete payments, unmatched identifiers, non-gift correspondence or constituent updates. The review owner, access point and resolution process are agreed during setup; the product does not treat every returned item as an automatically approved gift.
-
Where are supporting documents stored?
Scanned reply forms, checks and related correspondence are stored as standard attachments on the gift record in Raiser’s Edge NXT. Users can download the attachments from Raiser’s Edge NXT. Charity Automator does not currently integrate with external file-storage services such as AiryDocs or SharePoint.
-
Are the U.S. and Canadian workflows identical?
No. Provider file formats and image delivery differ. For the current Canadian Symcor ULBX deployment, transaction data and financial and non-financial IFT image packages are delivered over SFTP, and Symcor sends X9 cheque-clearing files to the client’s bank. U.S. provider requirements are confirmed for each integration.
